We are currently recruiting for a Finance and Operations Assistant to work with our Directors of Production and Finance on managing the supply chain from production to consumer delivery, as well as providing farm-related accounts payable data entry support and weekly processing of payments for eggs to our producers.

We are currently recruiting for a Finance and Operations Assistant to work with our Directors of Production and Finance on managing the supply chain from production to consumer delivery, as well as providing farm-related accounts payable data entry support and weekly processing of payments for eggs to our producers.

Duties and responsibilities

Process customer order

• Maintain order submission email account, including taking orders and responding to customer inquiries about pending, delivered, and cancelled orders
• Compile order summary each week for review and allocation amongst production partners
• Submit production orders for each week
• Process freight tenders
• Submit freight tenders for all customer orders
• Trouble-shoot/problem-solve/communicate and non-Costco freight issues/delays to customers and re-appoint as necessary
• Manage Costco appointment system for new appointments and changes
• Manage claims process for any damages in deliver
• Packaging procurement
•  Place Purchase Orders for new packaging and track/confirm receipt
•  Arrange trans-shipment of packaging inventory when needed
  

• Accounts payable data entry:
• Monitor accounts payable email account for incoming invoices, and vendor inquiries.
• Enter accounts payable invoices into accounting system with high degree accuracy, ensuring that each invoice is correctly assigned to individual Handsome Brook producer, to facilitate accurate expense reporting on a producer-by-producer basis.
• File invoices in corresponding vendor folders on company network.
• Create and review monthly reports to confirm accurate entry of data, and investigate any inconsistencies.
  

• Create individual excel files for each shipment of eggs from producers, calculating estimated payment due for each shipment.
•  Apply egg grading report information to previously estimated payments to determine actual payment values, based on egg quality.
• Calculate deductions for feed invoices due from producer to Handsome Brook to deduct from payments.
• Enter payment values into account system to create checks that will be sent to producers.
• Print and mail estimate and actual payment paperwork to producers.

Assist in monthly operations/financial reporting:

• Create monthly reports on various expenses, including freight and feed costs.
  
  

Requirements 

•  Strong organizational skills required
• Proficiency in Microsoft Excel required
• Experience with Quickbooks, NetSuite or Zoho required (Quickbooks preferred)
• Prior office experience required
• Data entry experience preferred
• Attention to detail and ability to multi-task
• Strong verbal and written communication skills
